Here are ten key tips to help you get the most out of your RFP process.

  1. Understand the Purpose of an RFP—And How It Differs from an RFQ

Before you begin, it’s important to know what kind of document you need. An RFP (Request for Proposal) invites vendors to propose solutions and pricing based on your project’s needs, while an RFQ (Request for Qualification) focuses purely on the experience and qualifications of the contractor. Using the right document ensures you get the responses you're looking for.

  1. Prioritize Clear, Concise Communication

Clarity is everything. Vague or overly complex RFPs create confusion, delay bidding, and can even lead to disputes later. Aim for transparency and specificity in every section—from scope to schedule to expectations.

  1. Ensure Contractors Read and Understand the RFP
